Inviting Participants

You can invite new participants into your mentoring program at any time. This article discussed the following topics related to participant invitations.

Inviting participants using the Invitation page

You can invite multiple people to participate using the Invitation feature. Use the Admin Panel to invite either Mentors or Mentees. The invitation process is identical for both groups, but we separate these operations so that you can include a custom message for each group. 

To invite a group of mentees: 

  1. From the Admin Panel, click Invite Mentees. 
  2. Enter a list of email addresses (separated by commas) in the To field. 
  3. Enter a Subject.
  4. Customize the Message
    Make sure that you include the token [mentorcliq-login-link] in the body of your e-mail. This token sends a unique registration link to the invited user.



  5. Click Preview Message
  6. Confirm when prompted to send the message. 

To invite a group of mentors:  

  1. From the Admin Panel, click Invite Mentors
  2. Enter a list of email addresses (separated by commas) in the To field. 
  3. Enter a Subject.
  4. Customize the Message
    Make sure that you include the token [mentorcliq-login-link] in the body of your e-mail. This token sends a unique registration link to the invited user.

  6. Confirm when prompted to send the message. 

Inviting participants through a public (open enrollment) page

Inviting participants through an open enrollment page involves sending a link to your open enrollment landing page. The page typically includes some text explaining the enrollment criteria. For example, mentors must have 1 year with your company and at least 5 years industry experience. 

You can communicate the landing page location by:

  • Sending an email blast announcing the page
  • Linking from your intranet
  • Promoting in a newsletter or printed posters

When a participant visits that page he or she can review any eligibility requirements for participation in the program, and then begin the enrollment process. 


Staggering mentor and mentee invitations to support self and suggested matching

Your matching strategy will influence the invitation timing for different groups. For example, if you plan allowing mentees to self-match or suggest their mentor matches, then you would stagger enrollment for the different groups. You would invite mentors to enroll first (say, for week 1 of enrollments). Then you would invite mentees to enroll in week 2. This would ensure that there were mentors already in the system for mentees to select or suggest during their enrollment.  

  • If allowing mentees to select or suggest mentors, then invite mentors first.
  • If allowing mentors to select or suggest mentees, then invite mentees first.


Reviewing enrollment status and sending reminders

Use the Admin Panel to review incomplete profiles and send reminders to participants to complete those profiles. 

  1. From the Admin Panel, click View Invitations.
  2. Select Incomplete Profile from the Status field. 
  3. Click Apply
  4. Select the checkbox next to the people you would like to remind. Click the checkbox at the top of the column to select all. 
  5. Click Compose Invitation Reminder
  6. Enter a Subject
  7. Enter a Message to the recipients. 
    NOTE: You must include the token [mentorcliq-login-link] in the message body to allow the users to reengage with their enrollment where they left off. 



  8. Click Next
  9. Click Confirm when prompted.
